You can instruct your browser to refuse all Cookies or to indicate when a Cookie is being sent. However, if you do not accept Cookies, you may not be able to use some parts of our Service.
Cookies can be "Persistent" or "Session" Cookies. Persistent Cookies remain on your personal computer or mobile device when you go offline, while Session Cookies are deleted as soon as you close your web browser.
We use both session and persistent Cookies for the purposes set out below:
2.1.4.1 Necessary / Essential Cookies
Type: Session Cookies
Administered by: Us
Purpose: These Cookies are essential to provide you with services available through the Website/Services and to enable you to use some of its features. They help to authenticate users and prevent fraudulent use of user accounts. 2.1.5 Your choices regarding Cookies
In the app, necessary cookies and similar storage are always used because the Services cannot work without them. Analytics cookies are optional. The first time you use the app, a banner asks you to accept or reject them. If you reject them, analytics are not started. If you accept them, analytics start. Your choice is saved in your browser and you can change it at any time with the analytics cookies setting under Settings, Privacy.
On our website, the first time you visit, a banner asks you to accept or reject Google Analytics and the LinkedIn Insight Tag (section 3.1). They only run if you accept. Rejecting them does not affect the website. Your choice is saved in your browser and you can change it at any time with Cookie settings in the website footer.
You may also instruct your browser to refuse all Cookies or to indicate when a Cookie is being sent. Please visit the help pages of your web browser for instructions on how to manage cookies. Please note that some features of the Website/Services may not function properly without Cookies.
2.1.6 Information from connected email accounts
If you choose to connect a Google (Gmail) account to the Services, we access that mailbox only after you give permission to Google, and only with the permissions you approve: to read your email and to send email on your behalf. Once connected, we read the messages from the previous 90 days and then new messages as they arrive. For each message we store the sender, recipients, subject, date, a short snippet, the message body (including HTML bodies) and any attachments. We link each message to matching contacts in your Customer Service so that it appears alongside the relevant record. We also store messages that match no contact for 90 days after they are received, so that they can be linked to contacts you create later. Section 2.3.3 explains how long mail is kept.
Each connected mailbox is private to the user who connected it unless that user chooses to share it with the other users of the same Customer Service. If a mailbox is shared, every message stored from it is visible to those users, whether or not it relates to a contact. Shared mailboxes are visible only to users of that Customer Service. If you send email from within the Services, we send it through your connected account. Your Google access credential is stored in AWS Secrets Manager and never in the database that holds Customer Data.
2.1.7 Information from API access
Users of a Customer Service can create personal access tokens for the public API and the MCP server. For each token we store its label, the permissions it was granted, when it was created, when it expires, when it was last used and whether it has been revoked. We store only a one-way hash of the token itself. When a token is used to view an individual contact record, we create an audit record of that view. We also keep logs of API requests, which record technical details of each request such as the time, the operation requested, the token used and the outcome.
2.2 Use of your Personal Data
2.2.1 The Company may use Personal Data for the following purposes:
To provide and maintain our Services, including to monitor the usage of our Services.
To manage your Account: to manage your registration as a user of the Services. The Personal Data you provide can give you access to different functionalities of the Service that are available to you as a registered user.
For the performance of a contract: the development, compliance and undertaking of the purchase contract for the products, items or services you have purchased or of any other contract with Us through the Service.
To contact you: to contact you by email, telephone calls, SMS, or other equivalent forms of electronic communication, such as a mobile application's push notifications regarding updates or informative communications related to the functionalities, products or contracted services, including the security updates, when necessary or reasonable for their implementation.
To provide you with news, special offers and general information about other goods, services and events which we offer that are similar to those that you have already purchased or enquired about unless you have opted not to receive such information.
To manage your requests: to attend and manage your requests to us.
2.2.2 We may share your personal information in the following situations:
With Service Providers: we may share your personal information with Service Providers to enable, monitor and analyse the use of our Services, for example for payment processing, or to contact you.
For business transfers: we may share or transfer your personal information in connection with, or during negotiations of, any merger, sale of Company assets, financing, or acquisition of all or a portion of our business to another company.
With Affiliates: we may share your information with our affiliates, in which case we will require those affiliates to honour this Privacy Policy. Affiliates include our parent company and any other subsidiaries, joint venture partners or other companies that we control or that are under common control with us.
With business partners: we may share your information with our business partners to offer you certain products, services or promotions.
With other users: when you share personal information or otherwise interact in the public areas with other users, such information may be viewed by all users and may be publicly distributed outside. If you interact with other users or register through a Third-Party Social Media Service, your contacts on the Third-Party Social Media Service may see your name, profile, pictures and description of your activity. Similarly, other users will be able to view descriptions of your activity, communicate with you and view your profile.
2.3 Retention of your Personal Data
2.3.1 The Company will retain your Personal Data only for as long as is necessary for the purposes set out in this Privacy Policy. We will retain and use your Personal Data to the extent necessary to comply with our legal obligations (for example, if we are required to retain your data to comply with applicable laws), resolve disputes, and enforce our legal agreements and policies.
2.3.2 The Company will also retain usage data for internal analysis purposes. Usage data is generally retained for a shorter period of time, except when this data is used to strengthen the security or to improve the functionality of our Services, or we are legally obligated to retain this data for longer time periods.
2.3.3 Messages that match a contact or organisation in your Customer Service are kept for as long as the mailbox remains connected and the Customer Service remains active. Messages that match no contact are kept for 90 days after they are received. When a mailbox is disconnected we stop synchronising it, revoke our access with Google, delete the stored Google credential and delete all mail synchronised from that mailbox, including attachments. This normally happens straight away and in any case within 30 days. When a Customer Service is closed we delete its synchronised mail. Messages you or the Customer delete in the Services are deleted from the Services; they are not deleted from the Google account. You can also revoke our access at any time from your Google Account permissions page.
2.3.4 Audit records of API access and API request logs are kept for 12 months. Personal access token records are kept until the token is deleted.
2.4 Transfer of your Personal Data
2.4.1 Your information, including Personal Data, is stored in the United Kingdom and the European Union, as described in section 3.5. Some of our Service Providers, including those named in section 3.5, may process it in other countries, including the United States. Where that happens, section 3.5.2 explains the safeguards we rely on.
2.4.2 The Company will take all steps reasonably necessary to ensure that your data is treated securely and in accordance with this Privacy Policy and no transfer of your Personal Data will take place to an organisation or a country unless there are adequate controls in place including the security of your data and other personal information.
2.5 Disclosure of your Personal Data
2.5.1 Business Transactions
If the Company is involved in a merger, acquisition or asset sale, your Personal Data may be transferred. We will provide notice before your Personal Data is transferred and becomes subject to a different Privacy Policy.
2.5.2 Law enforcement
Under certain circumstances, the Company may be required to disclose your Personal Data if required to do so by law or in response to valid requests by public authorities (e.g. a court or a government agency).
2.5.3 Other legal requirements
The Company may disclose your Personal Data in the good faith belief that such action is necessary to: comply with a legal obligation; protect and defend the rights or property of the Company; prevent or investigate possible wrongdoing in connection with the Services; protect the personal safety of Users of the Service or the public; protect against legal liability.
2.6 Security of your Personal Data
The security of your Personal Data is important to us, but remember that no method of transmission over the Internet, or method of electronic storage is 100% secure. While we strive to use commercially acceptable means to protect your Personal Data, we cannot guarantee its absolute security.
3 Detailed information on the processing of your Personal Data
Service Providers have access to your Personal Data only to perform their tasks on our behalf and are obligated not to disclose or use it for any other purpose.
3.1 Analytics
We may use third-party service providers to monitor and analyse the use of our Services.
3.1.1 Google Analytics
Google Analytics is a web analytics service offered by Google that tracks and reports website traffic. Google uses the data collected to track and monitor the use of our Services. This data is shared with other Google services. Google may use the collected data to contextualise and personalise the ads of its own advertising network.
In the app, Google Analytics runs only if you accept analytics cookies (section 2.1.5). You can opt out of Google Analytics by installing the Google Analytics opt-out browser add-on. On our website it loads when you visit.
For more information on the privacy practices of Google, please visit the Google Privacy Terms web page: https://policies.google.com/privacy?hl=en
3.1.2 LinkedIn Insight Tag
Our website uses the LinkedIn Insight Tag, provided by LinkedIn, to measure the performance of our LinkedIn advertising and to understand who visits our website. It collects information such as your IP address, browser and the pages you visit, and may set cookies. LinkedIn is an independent controller of this data. You can manage your LinkedIn advertising settings in your LinkedIn account. LinkedIn's Privacy Policy is available at https://www.linkedin.com/legal/privacy-policy.
3.2 Payments
3.2.1 We may provide paid products and/or services within the Services. In that case, we may use third-party services for payment processing (e.g. payment processors).
3.2.2 We will not store or collect your payment card details. That information is provided directly to our third-party payment processors whose use of your personal information is governed by their Privacy Policy. These payment processors adhere to the standards set by PCI-DSS as managed by the PCI Security Standards Council, which is a joint effort of brands including Visa, Mastercard, American Express and Discover. PCI-DSS requirements help ensure the secure handling of payment information.
3.2.3 We use Stripe to fulfil payment on your order. Stripe’s Privacy Policy can be viewed at https://stripe.com/us/privacy.
3.2.4 When you use our Services to pay for a product and/or service via bank transfer, we may ask you to provide information to facilitate this transaction and to verify your identity.
3.3 Connected email accounts
3.3.1 When you connect a Google account, we request permission to read your email and to send email on your behalf. We use that access only to show your email conversations alongside your contacts and organisations in the Services, and to send the messages you compose. We do not use it for advertising, we do not sell it, and we do not use it to develop, improve or train generalised artificial intelligence or machine learning models. We do not make synchronised email available through the API or the MCP server.
3.3.2 Our use and transfer to any other app of information received from Google APIs will adhere to the Google API Services User Data Policy (https://developers.google.com/terms/api-services-user-data-policy), including the Limited Use requirements. We do not allow humans to read the content of your email unless we have your consent for specific messages, it is necessary for security purposes such as investigating abuse, it is necessary to comply with applicable law, or the data is aggregated and used for internal operations in line with applicable law.
3.3.3 Email content is processed and stored as part of the Services on the hosting infrastructure described in section 3.5. Google provides your email account and handles the data it holds under its own Privacy Policy, available at https://policies.google.com/privacy?hl=en.
3.3.4 You can withdraw this permission at any time by disconnecting the account in the Services or on your Google Account permissions page.
3.4 Public API, MCP server and integrations
3.4.1 The Services include a public API and a Model Context Protocol (MCP) server. API access is available to every Customer Service by default. An account administrator can switch API and MCP access off for the whole Customer Service at any time under Settings, API access. While it is off, every personal access token, connected application and webhook delivery for that Customer Service is refused, and the change takes effect within a minute. Users can create personal access tokens that let other applications read, and where the user's permissions allow, change data in the Customer Service. A token carries no more permission than the user who created it, only for the Customer Service it was created in, and can be narrowed to specific permissions and given an expiry. Account administrators can see and revoke every token issued for their Customer Service. The data an application can read includes contacts, organisations, campaigns, applications, opportunities, pipelines and tasks. Contacts who have restricted processing or objected to it are excluded from API results.
3.4.2 Applications that users connect in this way include AI assistants and automation platforms. Anthropic (Claude), OpenAI (ChatGPT) and Zapier are our sub-processors for this purpose and are listed in section 3.5. When a user connects one of them, it receives the data that the user's requests return, within the user's permissions. We do not control, and are not responsible for, applications that a user connects which are not listed in section 3.5. The Customer is the Data Controller for the data that its users send to those applications and is responsible for choosing them, for having a lawful basis for sending personal data to them, and for having appropriate agreements with them, including in respect of candidate data.
3.4.3 Where a user sets up a webhook subscription, we detect changes to the records the user may see and send a signed notification to the URL the user specifies. Record data is read again using the permissions of the user who created the subscription before anything is sent. Each notification carries the data of the changed record, such as a contact's name and email addresses, but never a field that user cannot see. Nothing is sent for a record that user cannot see or that has been deleted, or for a contact who has restricted processing or objected to it. Notifications that still fail after repeated retries are kept for 7 days. The recipient URL is chosen by the Customer. Where the recipient is Zapier, Zapier is our sub-processor as described in section 3.5.
3.5 Hosting, infrastructure and sub-processors
3.5.1 We use the following Service Providers (Data Processors) to host and operate the Services. This list is the Provider's list of sub-processors for the purposes of clause 17 of the Terms and Conditions and the Data Processing Addendum at https://app.hireinsight.io/dpa.
Amazon Web Services (AWS Lambda, CloudFront, Route 53, Secrets Manager and S3): application hosting, content delivery, DNS, file storage and secrets storage. It receives all Customer Data and User Data in encrypted form, and Google credentials for connected mailboxes. Application functions run in the AWS Europe (London) region, eu-west-2. File storage is in the region chosen as described in the Terms and Conditions. CloudFront serves content from edge locations worldwide.
SurrealDB Cloud: database hosting. It receives all Client Data, including contact records and synchronised email content. The production database runs on AWS Europe (Ireland), eu-west-1.
Stripe: payment processing, described in section 3.2. It receives billing contact details and payment information.
Google: sign-in, and, where you connect a mailbox, email access (section 3.3). Google Analytics is described in section 3.1. Microsoft, LinkedIn and GitHub: sign-in only, where you choose them (section 2.1.3).
Anthropic (Claude), OpenAI (ChatGPT) and Zapier: only where a user of a Customer Service connects them through the API or the MCP server. Each receives the data that the user's requests return, which can include contact names, headlines, email addresses, organisations, campaigns, applications, opportunities, pipelines, tasks and notes within the user's permissions, but never contacts who have restricted processing or objected to it, and never synchronised email. Zapier also receives webhook notifications that the user configures. They process this data in the United States and elsewhere under their own standard terms.
3.5.2 Where a Service Provider processes Personal Data outside the United Kingdom, we rely on the UK International Data Transfer Agreement or the UK Addendum to the EU Standard Contractual Clauses, the UK Extension to the EU-US Data Privacy Framework where the provider is certified, or an adequacy regulation, as the transfer mechanism. The United Kingdom and the European Union each recognise the other's data protection law as adequate.
